This policy describes how OptioHire, a product of Cres Dynamics in Nairobi, Kenya, collects and uses information when you visit this site or use the hiring platform. It is written as static public information; a legal review is recommended before treating it as a binding privacy notice.

What data OptioHire collects

Depending on how you use OptioHire, we may collect:

• Contact details such as name, email address, phone number, and organisation
• Account and role information for employer, HR, institution, and candidate users
• Candidate profile material - CVs, work history, skills, and application answers
• Hiring process records - scores, shortlist decisions, interview scheduling, and outcome messages
• Usage data such as device, browser, pages visited, and how features are used

How candidate and employer data is used

Candidate data is used to run applications: matching people to roles, scoring against the requirements of a listing, communicating outcomes, and scheduling interviews. Employer and HR data is used to operate workspaces, job listings, and team access. We also use information to provide support, improve the product, and meet legal obligations. We do not sell personal information.

Data sharing and third parties

We share information only as needed to run the service: with the employer or institution that owns a given hiring process, with infrastructure and email providers under contract, or when required by law. Institution partners see cohort-level placement information they are authorised to view. Service providers are expected to handle data under confidentiality and security terms.

Data retention

We keep information for as long as an account or hiring process requires it, and for a limited period afterward where we need records for security, disputes, or legal retention. When data is no longer needed, we delete or anonymise it according to the product’s retention rules.

Candidate rights and data requests

You may request access to the personal data we hold about you, ask for a correction, object to certain processing, or request deletion or portability where those rights apply - including under Kenya’s Data Protection Act and, where relevant, GDPR-aligned practice. We will need enough information to verify the request.
